Set time between 2 reservations (treatment time + fixed clean-up time)
Guy Gijsbrechts
At Resengo, one of the settings is the time you can allow between 2 reservations. We are currently setting this to OR 75min (60min + 15min clean-up time between each reservation) so that the customer only gets options where no restrictions are imposed on subsequent potential customers.
e.g.: there is already a massage from 10 a.m. to 11 a.m. and one from 5 p.m. to 6:30 p.m. The customer who wants to reserve a 60-minute massage can then do so at 11:15am, 12:30pm and later, further at 2.30 pm and 3.45 pm (until 4.45 pm).
In the current system, for example, the customer can also make reservations at 11:30am, 11:45am, 12:00pm or 12:15pm, causing unusable openings of 15, 30 or 45 minutes. As a result, the therapists are able to perform fewer massages and we, as a company, unfortunately have fewer customers.

Dear Guy, I see that you have selected the Free moments finder filter “by agenda format” for (online) appointments. I would like to tell you that this filter often gives' holes' (unusable openings) on the agenda. The distribution of your online agenda is also per 15 minutes, but you can also set it to 75 minutes.

Good evening Sara, if I opt for “75min”, the customer can still make subsequent reservations. At Resengo, there was a separate institution for this purpose that only related to non-consecutive reservations (see annex). Thank you for confirming or commenting on this.

Guy Gijsbrechts: Yes, you can set the (online) agenda distribution to 75 minutes + then set up books.
To come back to your first example, there are massages at 10am-11am and 5pm-6:30pm.
👉 If you:
- the online agenda distribution takes 75 minutes
- the minimum space that should remain free when the new appointment is not linked to another appointment is also 75 min (this is already set in your optios account)
- Select the filter “Start OR end afterwards” * for the Online Free Moments Finder
👉 then customers who book a massage (regardless of the length of the massage) will only see these options on the online booking: 11:15 - 18:45 - 19:45.
👉 If the seat was taken by a 60-minute massage at 11:15am, other customers will only see these options on the online booking: 12:30 - 6:45pm - 7:45pm.
Feel free to test it out, I think this is better suited to what you offered in Resengo before? 🤞
Mvg!
* Start OR end afterwards = the online booking will only show free moments that will border on another, existing appointment (or block). These can then join just before or after the existing appointment.

Good morning Sara, I've tried it out in the meantime and unfortunately it does not offer optimal availability. The necessary developments are as follows:
- possibility to add "cleaning time” after each treatment. At Resengo, we have set it to 15 minutes
- apart from that: possibility to provide MINIMUM time between existing bookings to avoid lost time.At Resengo, we have set it to 75 minutes so that we can keep a minimum of 60 minutes for any subsequent customer.
When setting the 75 min in Optios tool, I only get proposals every 75 minutes, regardless of whether I want to reserve a treatment of 30, 60; 75.90 or 120 minutes, so a number of options do not appear during the day and there are gaps in the connection before an existing booking.
I had this conversation earlier with Gilles Cornelis who told me that this development would be realized by analogy with Resengo by the beginning of 2025, but because I noticed that it had not yet been realized, I had now placed it in the suggestions.
If I'm still not clear, I'd like to send screenshots of a concrete proposal to Resengo and Optios. For massage parlors, this development is an absolute must to optimize their planning. It's one of the main reasons that I asked Resengo for an exceptional extension and am still working with them (although I pay you monthly but still don't use the Optios system).
Thanks again in advance
Guy

Guy Gijsbrechts: Dear Guy,
both options already exist.
The extra cleaning time could probably be visually better in Optios, that's not always clear. And the ability to provide a minimum time between existing bookings (75 min) is also already set up in your Optios account (not visible to you, my colleague may have set this up for you during the training).
It is mainly the filter (according to the agenda format) for the moment finder that provides the gaps in the connection before an existing booking. Personally, I would never use these in your case.

In addition, I do understand your suggestion for the problem that you describe for other opportunities in the day that no longer have room for. Indeed, that improvement should still be developed. 👍 ✅
I'll leave the specific contact about those improvements to Gilles, I'll be happy to follow up on other suggestions! Mvg

Thank you for your time and all the answers Sara. Indeed, I have already found the cleaning time (thanks) and I now understand that the 75min is just a daily schedule where treatments can commence but not an optimization tool.
Apparently, we did not understand each other what we meant, but it is indeed best to finish here.
So thanks for also leaving the suggestion for development, but I'll follow it up directly with Gilles.
Good evening, Guy
